How to use the Flash Fill feature in MS Excel

When working on a spreadsheet in MS Excel with a lot of data, things can get overwhelming, but some features in the application can make your work go more smoothly. Flash Fill is one of those helpful features in Microsoft‘s spreadsheet app.

What is the Flash Fill feature?
Flash Fill fills your data for you automatically when it detects a pattern. Flash Fill can be used, for instance, to split up first and last names from a single column or to combine first and last names from two different columns. It’s beneficial to use in all kinds of projects because through artificial intelligence, it enables you to improve workflow.

How does the feature work?
Flash Fill enables you to quickly complete the information on your sheets by using predictive technology. If your spreadsheet is well-built, Excel will be able to fill in the blanks for you, saving you the time it would take you to manually type everything.

Flash Fill might not be enabled if it doesn’t show a preview of data that has to be filled. Here’s how you can enable it:

You can manually run Flash Fill by going to Data and then clicking on it, or you can press Ctrl+E.

Alternatively, to enable the Flash Fill feature, you can go to the Tools tab and then click the Options button.

Select Editing Options under the Advanced tab.

Select the ‘Automatically Flash Fill’ checkbox.
